EV charger delivery: close the gap between arrival and installation

By Xiaochong Energy · · 7 min read

A charger can reach the destination on schedule while the project still loses days waiting for unloading equipment, missing accessories or a dry storage area. Before releasing an overseas order, agree who receives each package, where it will wait and which evidence allows the installation team to take over. Treat these as purchasing decisions, not tasks to improvise when the truck arrives.

Xiaochong DC charger example for model-specific delivery and storage planning

This is a procurement and record-keeping checklist, not a lifting plan, electrical installation procedure, customs opinion or insurance policy. Qualified personnel must follow the actual model's approved handling, storage and installation instructions. Do not use another manufacturer's dimensions, weight, tilt limits or environmental limits for a Xiaochong unit.

1. Define the delivery endpoint precisely

Write down the named destination, receiving contact, available hours and physical handover point. Distinguish delivery to a port, warehouse, site entrance and final installation position. Ask which transport legs, unloading, internal movement, storage and packaging removal are included in the quotation. If the offer uses a shipping term, have the responsible logistics and commercial advisers confirm its edition, named place and practical responsibilities.

Request a package-level schedule: package identifiers, quantities, dimensions, gross weights and the approved handling instructions. A product's power rating does not tell a warehouse what it must unload. Confirm the actual configuration and packaging revision rather than copying a value from a similar catalogue model.

Agree what happens if the receiving site is not ready. Identify who can authorize a delivery change, where goods may be held and which written charges or approvals apply. This guide does not promise that freight, local duties, unloading or storage are included in a Xiaochong price.

2. Ask the local team to accept the handling scope before dispatch

Send the actual package information and route constraints to the qualified receiving contractor. Ask that contractor to confirm appropriate equipment, personnel, access and the approved movement plan. Check the route from the handover point to the designated holding area, including the access restrictions that the contractor needs to evaluate. Do not specify lifting points or machinery capacity from a photograph.

As an example of why the model-specific manual matters, Kempower's unpacking instructions distinguish product configurations and require appropriate equipment operated by qualified professionals. Those instructions also call for prompt inspection and stopping installation when damage is found. These are that manufacturer's instructions, not Xiaochong handling specifications.

For your order, request the supplier-approved handling document before dispatch and have the local team review it. If the document or receiving capability is missing, record the dependency and resolve it before booking work that relies on the equipment being available.

3. Prepare a receiving record that survives a disagreement

Name the person who checks delivery against the packing list. Create one receiving record per shipment with the purchase reference, package identifiers, arrival time, visible condition, quantities and any unresolved discrepancy. Photographs of accessible external packaging and labels can support the record; avoid exposing personal information or sensitive serial-number inventories in public posts.

Receiving questionRecord to agree before shipment
Did the expected packages arrive?Package-level list, counted quantities and the contact responsible for shortages.
Is the visible condition as expected?Dated external observations and the supplier's instructions for any fitted handling indicators.
Are accessories traceable?Agreed accessory list, package location and controlled record of items transferred to the installer.
Can the shipment move to installation?Named reviewer, open exceptions and documented release or hold decision.

Where the shipment has a shock or tilt indicator, obtain the instructions for that particular indicator and packaging design. Do not assume every unit has one, or use a threshold from a different product. Agree how to record exceptions on the delivery paperwork and how soon the responsible parties must be notified under the actual agreement.

Do not adopt a universal rule to sign clean, refuse delivery or discard packaging. Contract and carrier procedures differ. Contact the agreed supplier and logistics representatives promptly, retain relevant evidence and keep suspect equipment out of installation until the responsible qualified team provides a documented decision. Never energize a suspect unit merely to see whether it still works.

4. Separate operating conditions from storage conditions

A project may need to store equipment before civil works or electrical supply are ready. Ask for the permitted storage environment, packaging condition, duration, inspection requirements and any preparation required before installation. Make those requirements available to the actual warehouse operator, not just the purchasing team.

Kempower's Station Charger environment page lists operating and storage temperatures separately and distinguishes equipment versions. The useful lesson for procurement is to request the correct storage specification; its numerical limits are not transferable to Xiaochong equipment. An outdoor-use statement alone does not define how an uninstalled, partly unpacked product should be held.

Ask specifically about moisture exposure, condensation, dust, packaging damage and the supplier's requirements after a long delay. Do not invent a drying, heating or battery-maintenance procedure. If conditions are uncertain, get model-specific guidance before the installation team accepts the goods.

Keep a simple custody log when equipment moves between a port warehouse, distributor and site. Record the dates, package condition, location and unresolved issues at each handover. This helps distinguish an observed condition from an unsupported assumption about when damage occurred.

5. Keep a complete-unit order separate from an SKD shipment

An assembled charger and a box of parts require different receiving lists. For AC EV charger SKD kits and technical documentation, agree the selected model, component and accessory list, quantities, revisions, assembly documents and quality-check responsibilities. State explicitly which items the local partner must source.

For DC EV charger SKD kits and technical documentation, request the agreed power/control component scope, configuration and document revisions, integration dependencies and qualified testing responsibilities. Do not assume that a kit price includes every enclosure, cable, software licence, tool or test resource needed for a finished installation.

Record missing parts and revision questions against the approved list before assembly. Do not substitute an apparently similar component without the required engineering review and approval. Inventory receipt is not confirmation that the locally assembled product meets destination-market requirements.

6. Use separate acceptance gates and compare the same cost scope

Keep three decisions separate: goods received, equipment released to approved installation, and commissioned service accepted. A signed transport receipt does not by itself demonstrate charging performance. Link the receiving record to your factory and site acceptance plan, while retaining the distinct purpose of each document.

Compare quotes using the same delivery endpoint and assumptions. List packaging, freight, local handling, approved storage, missing-item resolution, installation and commissioning as separate scope lines. Ask the responsible commercial parties which costs are included, excluded or subject to confirmation. No saving percentage or delivery deadline can be inferred from this checklist.

Use our free RFQ brief builder for the project baseline and attach your receiving-responsibility table. The tool does not approve lifting, storage, customs treatment or electrical work. For later support obligations, also review the warranty and service-scope checklist.

Buyer FAQ

Does delivery acceptance mean an EV charger is ready to operate?

No. Record goods receipt, approved installation and commissioning acceptance as separate stages. Confirm the exact acceptance conditions in the project documents.

Can an outdoor charger be stored anywhere before installation?

No. Request the model-specific storage instructions, permitted conditions and checks required before release to the installation team. An outdoor-use statement is not a complete storage specification.

What should an importer do when a shipment appears damaged or incomplete?

Record the visible condition and missing items, retain the relevant evidence, and notify the agreed supplier and logistics contacts promptly. Keep suspect equipment on hold pending qualified review; follow the actual contract and model-specific instructions.

Request the right equipment and documentation package

Xiaochong Energy Technology (Zhongshan) Co., Ltd., China supplies commercial AC/DC charging equipment and recruits partners interested in local production and assembly. Send your destination, AC or DC track, model requirement, pilot quantity, receiving capability and intended installation date. Ask for the confirmed package list and model-specific documents before finalizing the handover plan.

Discuss SKD components, production and assembly technical support, professional repair and maintenance skills, and available training videos. Free AC or DC technical documentation is available on request. Specify the required language and agree the actual document package, revisions, permitted use, training, testing and support scope. This is not a promise of free hardware, unrestricted intellectual property, all training, certification or repair labour.
