EV charger operator training: what must be handed over?

By Xiaochong Energy · · 7 min read

A charger can pass its agreed equipment tests while the people taking over the site still lack the right instructions. A shared video link does not tell you who learned which workflow, whether it matches the installed version or who will answer the first support call. Define the training deliverables before the purchase order, then record the remaining gaps before opening the site.

Xiaochong DC charger illustrating model-specific operator training requirements

This is a procurement and handover framework, not electrical training, a qualification certificate or permission to repair equipment. Installation, electrical assembly, testing and repair require qualified personnel and approved model-specific procedures. Local legal requirements and product-specific safety instructions take precedence.

1. Separate the people who use, operate and service the equipment

Ask for a role-based training scope instead of one session labelled “charger training”. Drivers need the approved customer journey and a clear help route. Site hosts need to recognize when to stop normal use and contact the responsible team. Backend administrators need the agreed account, monitoring and support workflows. Qualified service personnel need the appropriate product documentation and authorization for their assigned work.

Do not give a site attendant repair responsibilities merely because that person attended the demonstration. Agree who owns each role, who covers absences and which actions remain outside that role. A small site may assign several roles to one person, but the competence and access boundaries still need to be explicit.

Identify the systems included in the training: charger, backend, payment arrangement and any local operating process. A hardware supplier's demonstration may not cover a third-party payment refund process or the operator's customer-support policy. Make those gaps visible before a driver depends on the service.

2. Specify training as a deliverable, not an unlimited promise

For a practical industry example, ABB E-mobility's service-training programme distinguishes online foundation learning, product-focused classroom work and assessment. It also identifies specific product and digital-tool courses. This illustrates why a training offer needs a defined audience and scope. ABB's certification, warranty conditions and courses do not apply to Xiaochong equipment; this is not an endorsement.

For your own quotation, request the delivery format, planned duration, participant count, required prior knowledge, language, materials and any agreed assessment. Confirm whether travel, translation, repeat sessions and training for replacement staff are included or quoted separately. Do not assume “technical support included” means unlimited on-site instruction.

Agree the evidence that ends the training work package. Attendance, access to documents and successful demonstration of an assigned workflow are different records. A procurement checklist should not invent a universal pass score or replace the employer's and competent technical team's responsibility to determine readiness.

3. Use a short training handover record

The following fields are a suggested project record, not a regulatory certificate. Keep personal information limited to what the responsible organization needs, and store restricted material in controlled systems.

RecordWhat to agree and retain
ScopeSelected charger model, relevant hardware/firmware version, backend and enabled project functions.
PeopleParticipant roles, trainer, attendance and the accountable operator/service organization.
MaterialsManual and drawing identifiers, revisions, video versions, required language and access conditions.
PracticeAgreed demonstrations, observed outcome, limits and questions needing follow-up.
ClosureOutstanding actions, responsible owner, completion evidence and approval of the defined scope.

Keep equipment acceptance and workforce readiness as separate decisions. A successful factory or site acceptance test should not silently sign off training that has not happened. Conversely, a completed training session does not prove the installation or payment integration has been accepted.

4. Match manuals and videos to the actual installation

Request a document list with revisions and applicability. A generic tutorial may show a different screen, connector arrangement or authorization workflow. Ask which parts of the material apply to the selected project, and mark differences instead of asking staff to guess.

State the languages your staff need. Confirm whether translated documents, subtitles, narration or an interpreter are available for the particular package. Do not assume a multilingual website means every technical drawing already exists in every language. Have safety-critical technical translations reviewed through the responsible qualified process; an automatic translation is not sufficient evidence of technical approval.

Agree how authorized staff can access the current material when the primary trainer is unavailable. If offline access or local copies are needed, confirm the permitted distribution and update method. Do not put private schematics, passwords, customer information or proprietary software into a public video library.

5. Rehearse the support handoff without creating a fault

Use approved demonstrations or a desk-based scenario to check whether the operator can identify the asset, locate the right instructions and reach the correct support team. There is no need to damage equipment, provoke a protection trip or open an energized cabinet to evaluate an administrative handoff.

For an ordinary support scenario, ask who records the exact displayed message, time zone, charger/connector identity and session context, and who receives that record. Separate what staff observed from a guessed component diagnosis. The fault-reporting guide explains the evidence package; the service-scope checklist helps define response and restoration responsibilities.

Emergency response and technical intervention must follow the site's approved procedures and model-specific instructions. A video or planning tool must never be used to justify bypassing protections or extending a person's authority beyond their qualifications. Record the escalation owner before the site opens, not during an incident.

6. Keep AC and DC SKD training packages distinct

For AC EV charger SKD kits and technical documentation, agree the actual supplied/local component boundary, assembly-document revisions, qualified quality checks and maintenance-support scope. The local team needs to know which work it is responsible for and which guidance applies to the selected AC variant.

For DC EV charger SKD kits and technical documentation, separately define the relevant power/control integration, approved test documentation, software dependencies and qualified service responsibilities. Do not treat familiarity with an AC product as authorization to assemble or repair a different DC system.

For both tracks, identify the deliverables that Xiaochong provides and those owned by the local production or service partner. Discuss professional repair and maintenance skills, available training videos and the requested drawing languages, with exact models, revisions, licensing, training and testing scope agreed for the project. Free technical documents do not transfer unrestricted intellectual-property rights.

7. Plan for new staff and changed equipment

Handover is a dated baseline, not a promise that the team will remain ready forever. Agree who reviews materials after relevant equipment, firmware or operating-process changes and how new staff receive the applicable instruction. Retire superseded instructions through the organization's controlled process rather than leaving contradictory copies in circulation.

Use the configuration-change checklist to connect the training record to the supplied version. Estimate training-related costs by agreed scope: participant coverage, translation, repeat sessions, travel and change-related updates. Do not claim a guaranteed saving simply because a video is available.

Add these requirements to the free RFQ brief builder output before requesting a comparable quotation. This tool organizes planning inputs; it does not approve competence, engineering or local compliance.

Buyer FAQ

Does receiving a training video make someone qualified to repair a charger?

No. A video is one learning resource. Repair requires qualified personnel, the applicable model-specific procedures and the authorizations required for the actual work.

What should a charger training handover record contain?

Record the equipment and document versions, participant roles, language, delivered sessions and materials, agreed demonstrations, unresolved gaps and responsible follow-up owners.

Are all technical drawings and training services free?

Free AC or DC technical documentation is available on request within the confirmed project scope. Hardware, all training, repair labour and unrestricted intellectual-property rights are not automatically included.

Request a model-specific AC or DC technical package

Xiaochong Energy Technology (Zhongshan) Co., Ltd., China recruits overseas local-production and assembly partners and provides SKD components and production/assembly and repair/maintenance technical support within an agreed scope. Send your country, company, AC or DC track, pilot quantity, staff roles and required document languages.

Free AC or DC technical documentation is available on request. Confirm the available document and video package, model, revision, permitted use and training/support deliverables. Hardware, all training, repair labour, certification and unrestricted source code are not automatically free. Xiaochong has helped multiple customers work toward required certifications; ask the team for model- and market-specific information rather than assuming every product holds every approval.
